How we handle your information.
This page explains what Captive8 Media collects when you use this website or book a trade show video, why, who else sees it, and what you can ask us to do. Last updated 30 September 2026.
Who we are
Captive8 Media Ltd (Captive8 Media) decides how and why your information is used, which makes us the data controller. We are a company registered in England and Wales, company number 05515603. Registered office: 21 Gurung Way, Fleet, Hampshire GU52 8AU. You can contact us about anything on this page at sales@captive8eventvideos.com.
What we collect, and why
When you complete the booking form
The exhibition name, your company name, your name, email address and phone number, the package you choose, a stand number and preferred filming dates if you give them, anything you add in the additional information box, and your confirmation that you are authorised to make the booking. We use this to arrange and carry out the filming you have booked and to contact you about it. The legal basis is that it is needed to take steps at your request before a contract and to carry one out.
When you email or phone us
Whatever you tell us, so that we can reply. The legal basis is our legitimate interest in answering enquiries.
Records we must keep
Once a booking becomes an invoice, we keep the records the law requires of a company, such as accounting records. The legal basis is our legal obligations.
How this page is used (only if you accept)
If you choose Accept analytics in the cookie banner, Google Analytics records which parts of the page are viewed, how you arrived, and your device, browser and approximate location. We use that to see what works and to improve the page. The legal basis is your consent, which you can withdraw at any time (see Cookies below). If you decline, Google Analytics is not loaded at all.
Who else sees your information
- Tally (tally.so) provides the booking form. What you type into the form goes to Tally, which passes it to us.
- Google provides Google Analytics, and only if you accept it.
- YouTube and Mux deliver the videos on this page. When a video loads or plays, they receive your IP address and details of your browser so that the video can be sent to you. The YouTube videos use YouTube's privacy-enhanced mode.
- Our service providers for website hosting and email process information on our behalf to run those services.
We do not sell your information and we do not use it to make automated decisions about you. Some of the providers above may process information outside the UK; where they do, they are responsible for protecting it under the data protection rules that apply to them.
How long we keep it
We keep booking details for as long as we need them to deliver your booking and to meet our legal and accounting obligations, and no longer than that.
Your rights
You can ask us for a copy of the information we hold about you, to correct it, to delete it, to restrict how we use it, to move it to another provider, or to stop us using it where we rely on our legitimate interests. Where we rely on your consent you can withdraw it at any time. Email sales@captive8eventvideos.com and we will reply. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This page sets no cookies of its own and none are needed for it to work. The only optional cookies are Google Analytics ones (named _ga and _ga_ followed by an identifier), which record a random identifier so that visits can be counted. They are set only after you press Accept analytics.
Your choice is remembered in this browser, using its local storage, so we do not ask again on every visit. To change it at any time, use here or in the footer. If you decline after having accepted, Google Analytics stops recording and its cookies are removed.
The booking form and the videos come from other companies (see above) and can store or read information in your browser when they load; that is described in their own policies.
